Privacy Policy
Regulation of SIA “Doculab” on the mandatory requirements for protection of personal data, in accordance with the Regulation of the Cabinet of Ministers No. 40 “Mandatory technical and organizational requirements for the protection of personal data” in accordance with the “Personal Data Processing Law adopted on 21.06.2018”
1. Legal entity which is a controller of collected and processed personal data - SIA “Doculab” (unified registration number 40103420742).
2. The present regulation define mandatory technical and organizational requirements for the protection of personal data, which SIA “Doculab” undertakes to observe when collecting and processing personal data.
3. Client's personal data is processed in order to provide customers with quality translation services and efficient support.
4. According to these rules, the client is an individual whose data, after receiving an order, will be collected, processed and stored for high-quality translation services.
5. In accordance with these terms and conditions, when transferring an order for translation, the client expressly and unambiguously agrees to transfer, processing and storage of data, which will be implemented in SIA “Doculab”.
6. The client has the right to withdraw his/her consent to the processing and storage of his/her personal data at any time by notifying SIA “Doculab” in writing: on request to e mail:info@doculab.lv or message to number (+371) 28929 965.
7. In accordance with these terms, personal data includes transfer of documents by the client to SIA “Doculab” for placing an order for translation, which may contain personal data.
8. SIA “Doculab” reserves the right to store the client's data for provision of translation services, provision of quality service to the client, invoicing and full accounting process.
9. If the client has agreed to receive information materials from SIA “Doculab”: about news and promotions of SIA “Doculab”, in accordance with Paragraph 6 of Section 9 of the Law on Information Society Services, has the right to refuse these materials by sending a request by e-mail: info@translab.lv or message to number (+371) 28929 965.
10. For communication with clients SIA “Doculab” uses e-mail, sms and mobile phone or postal services. The sender of e-mails from SIA “Doculab” is info@translab.lv. Sender of sms from SIA “Doculab” is (+371) 28929965.
11. When accepting an order SIA “Doculab” registers the following data:
11.1. client name;
11.2. client surname;
11.3. mobile phone number;
11.4. email address
11.5. personal code and declared place of residence (for invoicing notaries) for accounting in accordance with regulatory acts of the Republic of Latvia,
11.6. bank details (if the client pays by bank transfer),
11.7. translated documents may contain personal, confidential data of a client, for example: personal code, nationality, religion, marital status, etc.
11.8. in some cases other information containing personal data may be collected, which is necessary for SIA “Doculab” to ensure quality and timely execution of translation and / or other services.
12. SIA “Doculab” provides physical protection of clients` documents by storing them in a safe, in rooms equipped with alarm system, as well as electronic protection by equipping computers and data storage facilities with antivirus programs, passwords (which are available only to employees of SIA “Doculab”), and also a person authorized to collect and process personal data, as well as oral or written translator with who SIA “Doculab” cooperates, provides at least the same personal data protection measures that SIA “Doculab” has undertaken to provide. In order to protect your data while being processed by partners or subcontractors of SIA “Doculab”, SIA “Doculab” uses contracts in writing, as well as other means.
13. SIA “Doculab” undertakes not to receive or process such data and information which is not necessary for provision of translation or other services offered by SIA “Doculab”.
14. SIA “Doculab” undertakes to observe security and confidentiality of information provided by registered clients in accordance with the relevant regulatory acts, SIA “Doculab” has checked compliance with these acts.
15. SIA “Doculab” takes the right to privacy very seriously and undertakes to preserve and not to disclose your personal information and to comply with the laws of the Republic of Latvia. Your personal data will never be sold or used for fraudulent purposes.
16. Personal data is stored for 24 months, after expiration of this period personal data is deleted from information media and e-mail of SIA “Doculab”.
17. In case of replacement of an authorized person of SIA “Doculab” who conducts processing of personal data, all passwords for access to data carriers, alarm system, safes and e-mail are changed.
18. The clients and SIA “Doculab” resolve possible disputes that may be related to these terms through mutual negotiations, but if it is not possible, in accordance with laws and regulations of the Republic of Latvia in a court of the Republic of Latvia.
